Do you count toward our educator to child ratios?
No. We are an external activity provider, not an educator at your service. Your own staffing arrangements are unaffected and must be maintained independently. Your educators keep supervision and duty of care throughout the session. This is stated in writing in our terms so there is no ambiguity for your assessment file.
What if our numbers change on the day?
Not a problem. Give us final numbers 48 hours out and we'll write the session to them. If more children turn up than expected we'll adapt on the spot. Children over the stated cap are charged at the standard rate, and we'll always tell you before we invoice rather than surprise you.
What happens if it rains?
Every program has an indoor variant. If you have any indoor space, the session runs in modified form at no change to price. If you don't, we reschedule at no charge or carry your deposit forward to a future date, whichever you prefer. You are never charged for weather.
What space do you need?
A basketball court sized area is enough, indoor or outdoor. A full-size field is not required and not expected. We've run on COLAs, halls, hard courts and small grassed areas. We ask about your space at booking and write the session to it, so activity selection changes rather than the session being squeezed into a space it doesn't fit.
What documentation do we get?
On booking confirmation, without you asking: certificate of currency for $20 million public liability, WWCC number and verification instructions, HLTAID012 first aid certificate, coaching accreditation, Child Safe Environments Policy, code of conduct, a risk assessment written to your venue, a session plan written to your group, and outcomes mapped against My Time, Our Place for your programming records.
How far ahead should we book?
Six to eight weeks before the holiday period, before you publish your program to families. We deliver on roughly 50 days a year and popular dates in each period go first. If you're planning next holidays now, get the date held.
Can you do more than one of our centres?
Yes. If you run several services we can schedule across them within a holiday period, and a 10% discount applies where you book three or more services. Same-day delivery at two centres is possible for shorter sessions depending on distance.
Can children with additional needs take part?
Yes, and inclusion is designed in rather than added on. Every activity has an adapted version. Tell us at booking about any child with a medical, mobility, sensory, communication, cultural or behavioural requirement and the session plan is written around it. Where a child has a one-to-one support educator we work with them, not around them.
What are your payment terms?
A $100 deposit confirms the booking. The balance is invoiced on the day of delivery and payable within 14 days. Full deposit refund with more than 14 days notice of cancellation.
